A custom CRM, built around how you sell

Enquiries come in on WhatsApp, by phone, through the website and from salespeople. Follow-ups live in someone's memory. A CRM puts all of it in one list, so nothing is missed and you can see where every deal stands. We build one around your stages, your quotation format and your team, then move your records in and train your people.

What you get

From the first enquiry to the order.

The stages, the fields and the reports follow how your business already sells. What must never change is written into the proposal.

What goes in

  • One list of enquiries from every channel: WhatsApp, calls, the website, walk-ins and salespeople.
  • Follow-ups with an owner and a date, so each morning the team sees whom to call today.
  • Quotations in your format, with your price lists and terms, sent from the CRM.
  • Customers with their history: what they bought, what they asked, who spoke to them last.
  • Your stages, named the way your team already talks about a deal.
  • An owner's view: what came in this week, what is pending, and whose follow-ups are late.
  • Linked to Tally where your accountant needs it.

Custom or off-the-shelf

When a custom CRM is worth it.

Products such as Zoho CRM suit many businesses, and if one fits, use it. A build earns its place in a few common cases. Our article on custom or off-the-shelf sets out both sides.

A build makes sense when

  • Your customers are accounts with rules: dealer price lists, credit limits, job cards, approvals.
  • Several kinds of people use it differently: sales, accounts, dispatch, the owner, sometimes dealers through their own portal.
  • The team has already gone back to Excel after trying to bend a product to fit.
  • You want one price for the project, so adding people later does not change it.
  • It has to work with the rest of the business: orders, stock or a dealer portal in one system.

How the build goes

Four steps, all in writing.

The same four steps as every Studio build. How we work has the detail.

  1. A conversation

How an enquiry becomes an order today, who touches it, and what your sheet or notebook records.

  2. A written proposal

The stages, screens, reports and any Tally link, a delivery date, and one price, never per user.

    Within 3 working days
  3. Built, moved in, trained

Your customer and lead lists brought across from Excel, phones or old software. Your team shown how on live enquiries.

  4. Hosted and looked after

Hosting, backups, updates, fixes and monthly changes, renewed yearly.

What stays yours

Your customers stay yours.

A customer list is one of the most valuable things a business owns. You can export all of it any time.

  • Your data.Every customer, enquiry, quotation and note, exportable any time.
  • Your domain. It belongs to you, as does everything on it.
  • Anything built only for you.Your stages, screens and reports.
  • One price.Per project, never per user, so adding staff never changes the bill.

Questions

Asked about CRMs.

Should we use Zoho CRM or another product instead?

If a product fits how you sell, yes. Try it for a week with real enquiries. A custom build makes sense when your customers are accounts with rules, several kinds of people use the system differently, or the team has already gone back to Excel.

Can WhatsApp enquiries go straight into the CRM?

They can be entered by hand with a same-day rule, come in from a WhatsApp button or form on your website, or arrive directly once your number is connected through the WhatsApp Business Platform. Which of these your build uses is written into the proposal.

Is it priced per user?

No. One price per project, never per user, so adding staff never changes the bill.

Can our team use it on their phones?

Yes. It is built to work on a phone as well as a computer, with the screens people use most kept short.

Can it link to Tally?

Yes, where your accountant needs it. What flows in each direction is agreed with them and written into the proposal.
