For distributors and wholesalers
Orders, credit and dispatch, in one place
A distributor's day is repeat orders from dealers and retailers you already know, each on their own prices, schemes and credit terms. Orders arrive on WhatsApp, by phone and through salespeople. The godown needs a clean list to pack. The outstanding sits in Tally. We build the system and the dealer portal that hold all of it, around how your dealers already order.
The system
Every order checked before it goes out.
The right price, the right scheme and a credit check on every order, whoever enters it. Built as a business system with a CRM at the front.
What goes in
- Dealers as accounts: GST details, delivery addresses, route, salesperson, price list and credit terms.
- Orders from every channel turned into one kind of order, with prices, schemes and tax applied without anyone typing them.
- Price lists and schemes with dates, so a price change on the first of the month applies to everyone at once.
- Credit checks on every order, with your rule: warn, hold for approval, or block.
- Dispatch: what to pack, part dispatches, and the invoice, vehicle and transporter on each.
- A phone screen for salespeople: today's route, each dealer's outstanding and recent orders, and a quick way to book one.
- Dealers who have gone quiet, listed, so the call gets made this week.
The dealer portal
Dealers serve themselves, if they want to.
A login for each dealer, so the repeat questions get answered without a call to your office. More on customer and dealer portals.
What dealers can do
- See their own price list and schemes, and nobody else's.
- Place an order any time, and see where past orders stand.
- Check their outstanding and download invoices.
- Get a WhatsApp message when their goods leave the godown.
The website
A site that brings in new dealers.
For a distributor, the website's job is to tell a retailer what you carry, where you deliver, and how to open an account. See website design.
What goes in
- The brands and categories you carry, each with its own page.
- The areas you cover, said plainly.
- A way to apply as a dealer, checked by your team before an account opens.

We would rather say so. These live builds use the same pieces a distribution system needs.
Questions
Asked by distributors.
Our dealers order on WhatsApp. Will they have to change?
No. An order from WhatsApp, a phone call, a salesperson or the portal becomes the same kind of order in the system, with the same price and credit checks. The portal is there for dealers who want it.
Can it hold an order when a dealer is over their credit limit?
Yes. You choose the rule: warn the salesperson, hold the order for approval, or block it. The dealer's limit, outstanding and overdue amount show on every order.
Can the outstanding come from Tally?
Yes. Outstanding balances can be read from Tally, so the system and your accountant show the same figure.
Have you built a system for a distributor before?
Not one we can show on our work page yet. The closest live builds are an organiser's console that vets every application before it goes in, and a workshop system with approvals on WhatsApp and a private status link per job.
