For manufacturers

From enquiry to dispatch, in one place

A small manufacturer's day: enquiries that need a quotation, orders that need a date, production someone has to chase, and dispatch that the buyer keeps calling about. We build the system that follows each order from the first enquiry to the truck, the website that explains what you make, and a portal for the buyers and dealers who order from you again and again.

Enquiries and quotations

Every enquiry gets a quotation and a follow-up.

Buyers ask by email, phone, WhatsApp and through the website. Each one goes into the same list with a person responsible. See custom CRMs.

What goes in

  • One list of enquiries, whichever way they arrive.
  • Quotations in your format, with specifications, terms and validity.
  • Revisions kept, so everyone knows which quotation the buyer is looking at.
  • Follow-ups with a date, until the enquiry is won or closed.

Order book and production

Every order with its promised date.

The stages are the ones your floor already uses, named the way your people say them. See business systems.

What goes in

  • The order book: every confirmed order, its quantity and the date promised to the buyer.
  • Status through your stages, marked from a phone on the floor.
  • Stock of what you buy and what you make, where you need it counted.
  • Dispatch and GST invoicing, with the invoice, vehicle and transporter on each dispatch.
  • Linked to Tally where your accountant needs it.
  • An owner's view: orders due this week, orders running late, and enquiries waiting on a quotation.

Website and dealer portal

What you make, explained to buyers and dealers.

A buyer comparing suppliers wants specifications they can trust. A dealer wants prices and a way to reorder. See websites and portals.

What goes in

  • A page per product, with its specifications, easy to compare.
  • Pages for dealers and partners, with a way to apply.
  • A portal for repeat buyers and dealers: their prices, their orders, their invoices.
  • Order status without a call, through the portal or a private link per order.

How the build goes

Four steps, all in writing.

The same four steps as every Studio build. How we work has the detail.

  1. A conversation

One order walked through, from the buyer's enquiry to the truck leaving, and what must not change on the floor.

  2. A written proposal

The parts, the stages, the Tally link, a delivery date and one price, never per user.

    Within 3 working days
  3. Built, moved in, trained

Products, buyers, open orders and opening stock brought across. Office and floor shown how on real orders.

  4. Hosted and looked after

Hosting, backups, updates, fixes and monthly changes, renewed yearly.

What stays yours

Your orders, your buyers, your books.

You can export everything in the system any time.

  • Your data.Enquiries, quotations, orders, stock and dispatch records.
  • Your books. They stay in Tally, with your accountant.
  • Your domain and content. The website and everything on it.
  • Anything built only for you.The stages, screens and reports made for your business.

Questions

Asked by manufacturers.

Do we need a full ERP?

Often what a small manufacturer needs is an order book, stock, dispatch and invoicing that agree with each other. We build those parts, and only those, linked to Tally. If you later need more, a later project can add it.

Can the floor update status from a phone?

Yes. The screens for the floor are kept short: pick the order, mark the stage, add a photo if it helps.

Can buyers see where their order stands?

Yes, through a portal login or a private link per order, the way Upshift Autos customers follow their car from arrival to delivery.

Have you built a system for a factory before?

Not one we can show on our work page yet. The closest live build is a workshop system that tracks every job through its stages with photos from the floor, used every day.
