Customer and dealer portals people actually use

A portal is a login for the people you deal with every day. Dealers check their price list and place orders. Customers follow a job or approve an estimate. Staff file requests and get them approved. Each person sees only what is theirs, and the answer to "what's the status?" is there without a phone call.

Dealer and distributor portals

Dealers serve themselves, if they want to.

For businesses that sell to the same dealers, retailers or distributors again and again, each on their own terms.

What goes in

  • Their own price list and schemes, and nobody else's.
  • Orders placed any time, checked against stock and credit before they are confirmed.
  • Order status and dispatch details, with a WhatsApp message when goods leave.
  • Outstanding and invoices to view and download.
  • New dealer applications, checked by your team before an account opens.

Customer portals

Customers see where their job stands.

For businesses where a customer waits on work in progress: a car in a workshop, an order being made, an application under review.

What goes in

  • Each stage of the job, with photos where they help.
  • Estimates and quotations approved in one tap.
  • Bookings, documents and invoices in one place.
  • A private link per job where a full login would be too much.

Staff and partner portals

Requests and approvals, out of the group chat.

For teams, installers, entrants or partners who apply, submit or check in, and the people who approve them.

Every portal has

  • Login for the right people, each seeing only what is theirs.
  • Approvals where people already are, with WhatsApp notifications.
  • An admin side for the team that runs it, so nothing lives in a spreadsheet on the side.
  • The system behind it, where orders and stock need one: business systems.

How the build goes

Four steps, all in writing.

The same four steps as every Studio build. How we work has the detail.

  1. A conversation

Who logs in, what each of them should see and do, and what will still happen on the phone.

  2. A written proposal

Every screen for every kind of user, a delivery date, and one price, never per user or per dealer.

    Within 3 working days
  3. Built, moved in, trained

Your dealer, customer and price lists brought across. Your team and the first users shown how.

  4. Hosted and looked after

Hosting, backups, updates, fixes and monthly changes, renewed yearly.

What stays yours

Your dealers and customers stay yours.

Everything in the portal is your data, and you can export it any time.

  • Your data.Accounts, orders, approvals and documents, exportable any time.
  • Your domain. It belongs to you.
  • Anything built only for you.The screens, rules and reports made for your business.
  • One price.Adding dealers, customers or staff never changes it.

Questions

Asked about portals.

What if our dealers keep ordering on WhatsApp?

That is fine. Orders from WhatsApp, the phone, salespeople and the portal can all end up as the same kind of order, so the portal is an option for dealers and never a condition.

Can each dealer see different prices?

Yes. Each dealer sees only their own price list, schemes, orders and outstanding.

Do customers have to install an app?

Not usually. A portal opens in the browser, and for some jobs a private link sent on WhatsApp is enough, the way Upshift Autos customers follow their car from arrival to delivery.

Who can see what?

Each person logs in and sees only what is theirs. Your team gets an admin side to run it, and after launch we look after hosting, backups and updates.

Can the portal show figures from Tally?

Yes. Outstanding balances can be read from Tally, so a dealer sees the same figure your accountant sees.
