Best CRM and ERP for small businesses in India (2026)
By the Karyo team · 3 October 2026
There is no single best CRM or ERP for an Indian small business. There is the one that fits how your business already works, that your staff will actually use, and that you can afford for the next five years, not just the first. This guide compares seven real options side by side, including our own, and says plainly where each one is the right choice.
Disclosure: this guide is published by Karyo, which builds custom CRM and ERP systems. We have tried to be fair to every option, including the ones that compete with us, and every fact about other products comes from that vendor's own website, listed under Sources. Prices and features change; check them yourself before you decide.
Key points
The short version
- Ready-made is cheaper to start
- Apps such as Vyapar, Zoho, Odoo and Biziverse can be running the same day, often for a small yearly or monthly fee.
- Fit decides the real cost
- If your business has to bend around the software, the hidden cost is staff who stop using it and registers that never go away.
- Watch the pricing model
- Per-user pricing is cheap for three people and expensive for thirty. Count everyone who will need a login in three years.
- Tally is the usual sticking point
- Most Indian businesses keep their books in Tally. Ask every vendor exactly how entries reach Tally, and who fixes it when they do not.
- Ask who sets it up
- Software is only half the job. Someone has to load your items, prices and balances, and train the staff at their desks.
How we compared
What matters for an Indian small business
These are the questions that decide whether a system is still in use a year later:
- Fits how you work. Your price lists, schemes, credit terms, units and approvals, without workarounds.
- Tally compatibility. Whether sales and purchase entries reach Tally without retyping, and how.
- WhatsApp. Sending bills, reminders and order updates where your customers already are.
- Multi-location stock. More than one shop, godown or branch, with transfers between them.
- Hindi and training. Whether staff can learn it in their own language, at their own desk.
- Pricing model. Per user, per year, flat, or a build fee plus maintenance.
- Set-up and support. Who loads your data, who trains your staff, and who answers when something breaks.
- Data ownership. Whether you can export everything and leave. (GST invoicing is standard in every option here.)

Option 1
Zoho CRM and Zoho One
Zoho is an Indian company with one of the most complete software suites available. Zoho CRM handles leads, deals, follow-ups and sales pipelines; Zoho One bundles dozens of Zoho apps, including Zoho Books for accounting, under one licence.
Strengths: a mature, well-documented product; a free CRM edition for up to three users; Hindi among its interface languages; an official WhatsApp Business integration available in all paid editions.
Limits for an Indian SME: pricing is per user. Zoho CRM's Standard edition is ₹800 per user per month billed monthly (as listed on 3 October 2026), with lower yearly rates, so cost grows with every login. Tally is not mentioned on Zoho CRM's pricing page, because Zoho's own accounting app is Zoho Books; if you want Tally to stay the books, ask exactly how the two would connect.
Option 2
Vyapar and similar billing apps
Vyapar is a GST billing, accounting and inventory app built for small Indian businesses, on mobile and desktop.
Strengths: fast to start, simple enough for a counter, and inexpensive: the Platinum plan is ₹9,999 a year (as listed on 3 October 2026). It supports multiple godowns, Hindi and other Indian languages, and import and export of data with Tally.
Limits: it is a billing and stock app, not a CRM or an operations system. Dealer portals, production or salesman apps are outside its design.
Option 3
Odoo
Odoo is a modular ERP from Belgium with apps for CRM, sales, inventory, manufacturing, accounting and much more, and an Indian localisation for GST, e-invoicing and e-way bills documented on its site.
Strengths: very broad; a free plan for one app with unlimited users; hosting, backups and support included in paid plans.
Limits: paid plans covering all apps are priced per user per month. Odoo has its own accounting, so running it alongside Tally means either moving your books into Odoo or adding a connector. For anything beyond standard flows you will usually need its customisation tools on a higher plan, or an implementation partner.
Option 4
ERPNext
ERPNext, from Frappe, is a free and open-source ERP covering accounting, CRM, sales, purchase, stock, manufacturing, projects and HR. An India Compliance app adds GST, e-invoicing and e-way bill support.
Strengths: no licence fee and no per-user charge for the software itself; Frappe Cloud hosting is priced by server size, from $14 a month as listed on 3 October 2026; and the code is open, so nobody can lock you in.
Limits: free software is not a free project. Someone has to host it, set it up, migrate your data and keep it updated, either your own IT person or a partner. Like Odoo, it has its own accounting, so keeping Tally as the books needs a connector or a decision to move.
Option 5
Biziverse
Biziverse is an Indian cloud CRM and ERP from Gandhinagar, aimed squarely at micro, small and medium enterprises. It combines leads, quotations, orders, GST invoicing with e-way bills, multi-location inventory, manufacturing, purchase and accounts, with web and mobile apps.
Strengths: designed for Indian MSMEs, with lead import from IndiaMART, JustDial and TradeIndia; low yearly plans that include a set number of users; and live training and support listed on its site.
Limits: it is a ready-made product, so your process adapts to its screens rather than the other way round. Its pricing page does not describe a Tally link, so ask before you commit if Tally is staying.
Option 6
TallyPrime with partner add-ons
Many businesses already run TallyPrime, and Tally partners extend it with add-ons for things such as order entry or approvals. TallyPrime Silver (one PC) is ₹22,500 and Gold (multiple users) ₹67,500 as a lifetime licence plus GST, with monthly and yearly rental options too (as listed on 3 October 2026).
Strengths: your accountant already knows it, there is no second system, and the books never leave Tally.
Limits: Tally is accounting software first. Portals, CRM follow-ups and production tracking stretch it, and each add-on has its own partner and support.
Option 7
Karyo: a system built around your business
Karyo, the company publishing this guide, takes a different route. We build the CRM or ERP around how your business already runs, posting entries to Tally so Tally stays the books, then host and maintain it under an annual maintenance contract.
Strengths: it fits your price lists, schemes, credit rules and approvals instead of the other way round; pricing is never per user; WhatsApp Business and email notifications, multi-location stock and an owner's view on a phone are built in where you need them; training on the job in English and Hindi; data hosted in India and exportable any time; custom work yours, platform licensed, buy-out available. Start with one module and go digital at your own pace.
Trade-offs, honestly:
- There is a build fee up front, and an annual maintenance fee after the first year. A ready-made app is cheaper on day one. Services start from ₹34,999/-; see pricing.
- It is not an instant sign-up. A CRM or ERP takes two to four months to build; a portal six to ten weeks. You receive a written proposal and fixed quote within three working days of a first conversation.
- Karyo is a small team. We cannot match the size of Zoho's or Odoo's support desks.
- If a ready-made app already fits your business, you do not need us, and we will say so.
You can try sample systems first on our demo page.
Which should you choose
Our honest recommendation by business type
- A single shop or small trader that mainly needs GST bills and stock: a billing app such as Vyapar. It is quick, inexpensive and enough.
- A sales-led business with a small team chasing leads: Zoho CRM, starting on the free edition if you have three users or fewer.
- A growing firm ready to move its books out of Tally and invest in implementation: Odoo or ERPNext with a good partner.
- An Indian MSME that wants CRM, inventory and billing in one ready-made app: Biziverse is worth a trial.
- A business whose operations are simple and whose accountant runs everything: stay on TallyPrime, perhaps with one add-on.
- A distributor, manufacturer or multi-branch business with dealer-specific prices, schemes, credit rules or a process no app fits, where Tally must stay the books: a system built around you, from Karyo or another builder, often starting with a dealer portal. See what that looks like for distributors.
Frequently asked questions
Which is the best CRM for a small business in India?
It depends on the job. For a small sales team, Zoho CRM is a strong ready-made choice with a free edition for up to three users. For GST billing and stock, Vyapar is simpler. If your prices, schemes and approvals fit no app, consider a system built around you.
Is per-user pricing a problem?
Not for a small team, but it adds up. Count everyone who will need a login in three years, including godown, salesmen and accounts, and compare the total.
Can I keep Tally if I buy a CRM or ERP?
Often, but check how. Odoo, ERPNext and Zoho have their own accounting, so keeping Tally as the books usually needs a connector. Ask every vendor to show entries reaching Tally with your own data before you sign.
Is ERPNext really free?
The software is free and open source. Hosting, set-up, data migration, training and updates are not, unless you have the skills in-house. Frappe Cloud hosting is priced by server size rather than per user.
Why would I pay for a custom system when ready-made apps are cheaper?
Only when no ready-made app fits. If staff keep registers alongside the software, the cheaper licence ends up costing more. If an app fits, choose the app.
Who owns our data in each option?
Check the export format before you commit to any option. With Karyo, data can be exported any time your custom work is yours; the platform is licensed, with a permanent licence if Karyo stops trading and a buy-out if you need a copy.
