Customer and dealer portal development

Customer, dealer and staff portals that let people serve themselves.

Karyo builds secure portals where your customers track orders, download invoices and book appointments, and where your dealers, distributors, vendors and field staff place orders and update their work, at any hour, without calling the office. We shape each portal around how your business already runs, then host it and keep it running under an annual maintenance contract.

The problem

Stop answering “where is my order” calls.

Ask any office that serves customers or dealers where the day goes, and the answer is the phone. Where is my order. Send me last month’s invoice. What is my outstanding. Each call means someone looking up a register or a spreadsheet, and the same question comes back next week.

Dealers send orders as photos of handwritten lists on WhatsApp. Someone retypes them, checks the rate and the credit, and the mistakes surface at dispatch, when they cost the most to fix.

A portal puts those answers where your customers and partners can find them, drawn from the same records your team already keeps, so the office spends its day on work that moves the business forward.

What’s included

Two kinds of portal, built on one foundation.

Most businesses need one of these first and add the other later. Both run on the same system, so the second never means rebuilding the first.

Customer portals

For the people who buy from you: a private account where they find everything they would otherwise call you for.

Order tracking
Every order from placed to approved, dispatched and delivered.
Invoices and statements
GST invoices, credit notes and an up-to-date statement, downloadable any time.
Bookings and appointments
Slots your staff control, with confirmations and a reminder the day before.
Documents
Reports, certificates and agreements, visible only to the customer they belong to.
Support requests
Raised with photos, assigned to your team and tracked until closed.
Payments
Invoices and fees paid through a payment gateway, recorded against the account.

Business portals

For the people who sell, supply or work for you: dealers, distributors, vendors and staff, each with the screens their role needs.

Dealer and distributor ordering
Each dealer orders against their own price list and schemes, with their credit limit and outstanding shown.
Approvals
Orders over a limit or over credit wait for the person you name.
Vendor portal
Suppliers see purchase orders, confirm dates and record dispatch against each one.
Field staff app
Visits, orders and collections recorded from the phone, at the customer's counter.
Staff portal
Circulars, leave requests and documents for employees across branches.
  • Secure login for every user
  • Role-based access: each person sees only their own records
  • Notifications by email and WhatsApp
  • Works in the browser on any phone or computer

Examples

What a portal does in different businesses.

The portal is shaped around the business, not the other way round.

A distributor

Retailers order from their phone against their own price list and see what they owe. The order photos on WhatsApp stop.

A manufacturer's dealers

Dealers across states order, track dispatch and download invoices; the factory approves orders over credit before loading.

A clinic

Patients book appointments, get reminders and download reports instead of calling for results.

A school

Parents see notices and fee dues, pay online and download receipts, in one place instead of a dozen WhatsApp groups.

A pharma distributor

Chemists order medicines against their own price list, see their credit and track each dispatch instead of calling the counter.

An old family business

Customers who have ordered by phone for twenty years get a simple login to see their account and repeat an order, while the counter runs as it always has.

Real estate, hospitality, logistics or retail: if people call your office for answers, a portal can give them directly.

Karyo is built by TUD Innovations, the company behind Kenro, automotive software proven on a working workshop floor and running in production at a Delhi pre-owned showroom.

At your pace

Start with one feature, or move the whole relationship online.

A portal does not have to change how your business works on day one. Choose how far to go, and go further when it pays. Read more about going digital at your own pace.

Semi-digital · Show

Answer the calls before they come

Customers log in to see order status and invoices. Your team keeps working exactly as it does now; the portal shows what is already recorded.

Semi-digital · Order

Let customers order themselves

Ordering or bookings move online for those who want it. Phone and counter orders carry on alongside, into the same system.

Fully digital · Run it

Every order and payment in one place

Orders, schemes, credit, approvals, dispatch and payments all run through the portal, linked to the CRM or ERP behind it.

How it’s delivered

From the first conversation to a portal your customers use.

The five stages of a Karyo portal project, what happens in each, and what you receive.
Stage What happens What you receive
01 · Discover Who will log in, what they call you for, and where those answers live now. A written proposal and fixed quote within 3 working days.
02 · Design Each user's journey mapped and the screens designed. A clickable prototype for your sign-off.
03 · Build Short cycles on a private staging link you can open any time. A working demo every two weeks.
04 · Launch Data migrated from Excel or registers; staff trained on the job, in English or Hindi. A live portal and trained staff.
05 · Manage Hosting, backups, updates and support under an annual maintenance contract. A monthly report on uptime and requests.

A customer or dealer portal typically takes 6 to 10 weeks. The build fee is paid in stages: at the start, at prototype sign-off and at go-live.

Customer and dealer portals: common questions

What is the difference between a customer portal and a website?

A website tells visitors about your business and brings in enquiries. A portal sits behind a login, where each customer, dealer or staff member sees their own orders, invoices and documents. Most businesses have both, on the same domain.

Can dealers see their own prices, schemes and credit limits?

Yes. Each dealer sees only their own price list, the schemes that apply to them, and their credit limit and outstanding before they order. Orders over the limit can wait for your approval.

Do our customers need to install an app?

No. The portal opens in the browser on any phone or computer, with a secure login. Updates arrive by email and WhatsApp.

Will the portal work with Tally and our existing records?

Yes. Tally stays your books, and the portal posts entries in the format your accountant already uses. Existing customers, dealers and balances are migrated from Excel or registers before launch.

How is a portal priced?

You receive a written proposal and fixed quote within 3 working days of a first conversation. The build fee is paid in stages, and hosting and support are covered by an annual maintenance contract. There is never per-user pricing.

Do you build portals for businesses outside India?

Yes. Portals are designed, built and supported remotely, so we work with clients anywhere. Plant and machinery work is offered in India only.
