Distributor management software
Distributor management software that takes the order, checks the credit and tells the godown.
Karyo builds the system a distribution business runs on: a B2B ordering portal with each dealer's own price list and schemes, credit checked before an order is approved, godown stock and dispatch, and a phone app for salesmen to book orders and collections. Tally stays the books. Then we host and maintain it.
- Written proposal and fixed quote within 3 working days
- Posts to Tally
- Never priced per user
| Dealer | Area | Order | Credit used | Status |
|---|---|---|---|---|
| Dealer 104 | North beat | 48,200 | 62% | Approved |
| Retailer 211 | Market road | 12,750 | 94% | Over limit |
| Dealer 087 | East beat | 73,900 | 41% | Approved |
| Retailer 156 | Station area | 9,400 | Overdue 45d | Hold |
The problem
Orders come in on five channels, and the credit check happens after the goods have left.
A distributor's day is a stream of small decisions: who ordered, at what rate, under which scheme, whether they have paid, and which van it goes on. Most are made from memory, a WhatsApp chat and a call to the accountant, until the owner is the only person who can answer any question.
- Orders on WhatsApp
- Orders arrive as messages, photos of handwritten lists and voice notes. Someone types them up, and some are missed.
- Wrong rate, wrong scheme
- Every dealer has a different price list and scheme. Staff bill from memory, and the dispute comes later.
- Credit checked too late
- Goods go out to a party already past their limit, because the outstanding was in Tally and the order was on the phone.
- Salesmen you cannot see
- Orders and collections come back at night on paper. Nobody knows which shops were skipped.
- Stock that does not match
- The register says forty cartons, the godown has thirty-two.
- Payment follow-ups by memory
- Overdue bills are chased when someone remembers; salesmen's cash reaches the books days later.
What we build
A dealer portal, a salesman app and the system behind both.
One dealer, one price list, one outstanding balance, whichever screen it is seen on. Choose the parts you need. See how we build customer and dealer portals and CRM and ERP systems.
B2B ordering portal
Each dealer logs in to their own price list, schemes, order history, outstanding and credit limit, and orders at any hour.
Order approval
Orders within the limit go straight to the godown. Orders over the limit or with overdue bills wait for your approval.
Salesman order app
Salesmen book orders and collections at the counter, with the dealer's outstanding in view.
Beat and route plans
Shops grouped by area and day, with visits, orders and misses shown salesman by salesman.
Godown stock and dispatch
Stock by godown, with barcode labels and scanners if wanted. Orders picked, loaded on a van and sent with a delivery note.
Collections and follow-ups
Overdue bills by age and salesman, reminders by WhatsApp Business or email, and online payment through a payment gateway.
Schemes and price lists
Party-wise rates, slabs and scheme discounts set once and applied on every order.
Tally posting
Sales, receipts and stock entries posted to Tally in the format your accountant already uses.
Owner's view
Sales by area, salesman, brand and dealer, collections and low stock, on your phone each morning.
At your pace
Three levels of digital for a distributor. Start with the one that hurts.
You do not have to move the whole business at once. Start at one level and move up when the first step has paid for itself. Read more about going digital at your own pace.
Your brands, your area, your phone
A website listing the brands you distribute and the area you cover, a Google Business listing, and a form that sends retailer enquiries to your phone. How you take orders does not change.
Fix the order desk first
Move the part that hurts most, usually dealer ordering with credit checks or the salesman app. Accounts stay in Tally and the godown register can stay on paper.
The whole distribution on one system
Portal, salesman app, godown, dispatch and collections in one system linked to Tally, with the owner's view on a phone. When the next generation takes over, every dealer's terms and history are in the system, not in one person's memory.
How it’s delivered
Designed with your order desk, built in the open, kept running.

Distributor management software: common questions
Does it replace Tally?
No. Tally stays your books. Sales, receipts and stock entries are posted to Tally in the format your accountant already uses, so GST filing carries on as it does today.
Can every dealer see their own prices and schemes?
Yes. Each dealer and retailer logs in to the ordering portal and sees only their own price list, schemes, orders, outstanding and credit limit.
What happens when a party is over their credit limit?
The order is held for approval instead of going to the godown. You see the outstanding and the order side by side, and approve or hold it from your phone.
Can salesmen take orders and collections on a phone?
Yes. The salesman app follows a daily beat, books orders, records cash and cheque collections, and shows the dealer's outstanding at the counter.
Can we start with only the dealer portal?
Yes. Many distributors start with ordering and credit checks, and keep the godown register and everything else as it is. More modules are added later without rebuilding what is already in use.
How is it priced?
You receive a written proposal with a fixed quote within 3 working days of a first conversation. The build fee is paid in stages, and hosting, backups and support are covered by an annual maintenance contract. Never per-user pricing, so adding staff never adds cost.
Where is our data kept?
By default on Supabase in AWS Mumbai, so your data stays in India, with daily backups and role-based access. Your data is exportable at any time, and anything built only for you is yours.
