School management software

School management software that collects the fees, reaches every parent and keeps the office out of registers.

Karyo builds what a school or coaching institute runs on: admission enquiries followed up, fees collected online with receipts and reminders, attendance, notices to parents by WhatsApp and email, and a parent and student portal for fees, notices and results. Then we host and maintain it through every admission season.

  • Written proposal and fixed quote within 3 working days
  • Online fee payment through a payment gateway
  • Never priced per student or per user

The problem

The office spends the term chasing fees and forwarding notices.

A school runs on trust with parents, and most of it is built or lost in the office: an enquiry answered on time, a correct receipt, a notice that actually reached home. When records live in registers, Excel and class WhatsApp groups, the same problems return every term.

Admission enquiries that go cold
Numbers are written on a pad in admission season, and nobody calls back in time.
Fee registers and cash queues
Reconciling who has paid, and who has paid part, takes days.
Reminders that depend on teachers
Reminders go home in the diary, and some parents never see them.
Notices lost in WhatsApp groups
Circulars and exam dates are buried under a hundred replies.
Results on paper only
Report cards go home once, and copies are requested again and again.
Branches that report by phone
Each branch keeps its own sheets, and the owner hears the numbers at month end.

What we build

A school website, a parent portal and the system behind both.

One set of records, so the office, teachers and parents see the same thing. See how we build parent and student portals and management systems.

School website and admissions

Classes or courses, faculty and an enquiry form. Every enquiry is logged and followed up on a date.

Fee collection and receipts

Fee structures, instalments and concessions, with a correct receipt for every payment.

Online payments

Parents pay through a payment gateway, recorded against the right student and instalment.

Fee reminders

Upcoming and overdue fee reminders by WhatsApp Business or email, on a schedule you set.

Attendance and timetable

Attendance marked on a phone or tablet; timetables by class, batch and teacher.

Notices to parents

Circulars and exam dates sent to the right classes by WhatsApp Business and email.

Parent and student portal

Fees paid and due, notices, attendance and results, with receipts and report cards to download.

Staff records

Staff details and documents in one place, with access set by role.

Branches and owner's view

Every branch of a coaching chain or school group in one system, on the owner's phone.

At your pace

Three levels of digital for a school or institute. Move at the pace of the academic year.

Changing how a school runs mid-term is hard on everyone, so each step is planned around your calendar. Read more about going digital at your own pace.

Level 1 · Get found

Fill the admission season

A school or institute website, a Google Business listing, and admission enquiries sent straight to the office phone. Everything else in the school stays as it is.

Level 2 · Semi-digital

Fix fees first

Move the part that hurts most, usually fees with online payment, receipts and reminders. Attendance and notices stay as they are for now.

Level 3 · Fully digital

The whole institution on one system

Admissions, fees, attendance, timetables, notices, results and staff in one system, with fee collections posted to Tally and the owner's view on a phone. When the next generation takes over the trust or the chain, the institution's records are in the system, not in one person's memory.

How it’s delivered

Planned around your academic calendar, built in the open, kept running.

The five stages of a Karyo school software project, what happens in each, and what you receive.
Stage What happens What you receive
01 · Discover We spend time with the office, the fee counter and a few teachers, and map how admissions, fees and notices work across the year. A written proposal and fixed quote within 3 working days.
02 · Design Screens designed with the people who will use them. A clickable prototype to try before the build.
03 · Build Built module by module on a private staging link. A working demo every two weeks.
04 · Launch Data migrated from Excel and registers; staff trained on the job in English and Hindi. A live system and trained staff.
05 · Manage Hosting, daily backups, security updates, uptime monitoring and bug fixes under an annual maintenance contract. A monthly change allowance.

As a guide, a school website takes 3 to 5 weeks, a parent portal 6 to 10 weeks and a full school system 2 to 4 months. We time go-live around the start of a term where we can. The build fee is paid in stages.

School management software: common questions

Can parents pay fees online?

Yes. Parents pay through a payment gateway from the parent portal or a payment link, and each payment is recorded against the right student and instalment, with a receipt sent by email.

Can it send fee reminders automatically?

Yes. Reminders for upcoming and overdue fees go to parents by WhatsApp Business or email on a schedule you set, and stop once the fee is paid.

What can parents see in the portal?

Fees paid and due, receipts, notices, attendance and results for their own child only. Students can have their own login too.

Does it work for coaching institutes with several branches?

Yes. Batches, courses, fee plans and instalments are set per branch, and the owner sees admissions, collections and attendance for every branch together or one at a time.

Can we start with just the website and fees?

Yes. Many schools start with a website and admission enquiries, or with fee collection alone, and add attendance, notices and results later without rebuilding what is already in use.

How is it priced?

You receive a written proposal with a fixed quote within 3 working days of a first conversation. The build fee is paid in stages, and hosting, backups and support are covered by an annual maintenance contract. Never per-user pricing, so adding staff never adds cost.

Where is student data kept?

By default on Supabase in AWS Mumbai, so the data stays in India, with daily backups, SSL and role-based access. Your data is exportable at any time and stays yours if you leave.
