Clinic management software
Clinic management software that keeps the front desk calm and the reports where patients can find them.
Karyo builds what a clinic or diagnostic centre runs on: a website, appointment requests and reminders, visit history at the doctor's fingertips, billing, and reports delivered through a secure patient portal. Then we host it, back it up every day and keep it running, so your staff look after patients, not registers.
- Written proposal and fixed quote within 3 working days
- Records access-controlled by role
- Hosted in India by default, with daily backups
| Token | Doctor | Time | Visit | Status |
|---|---|---|---|---|
| A-12 | Doctor 1 | 10:30 | Follow-up | Checked in |
| A-13 | Doctor 2 | 10:45 | New patient | Confirmed |
| A-14 | Doctor 1 | 11:00 | Follow-up | No reply |
| L-07 | Lab | 11:15 | Sample collection | Report pending |
The problem
The front desk is answering the same questions all day, and the reports are on someone's phone.
The phone never stops, patients arrive early and late, doctors run over, and every patient wants their report the moment it is ready. Most of it is managed with a diary, a billing program and a WhatsApp group, and every new doctor or branch widens the cracks.
- Calls that block the desk
- Half the calls ask whether the doctor is in or the report is ready, while patients at the desk wait.
- No-shows and double bookings
- Appointments sit in a diary. Nobody reminds the patient, and two people land in one slot.
- Visit history in paper files
- The file is at the other branch, so the doctor asks what was prescribed last time.
- Reports sent from personal phones
- Reports go out as WhatsApp photos from a staff member's own number, and are resent when lost.
- Consumables run out without warning
- Kits, syringes and dressings are reordered when someone notices the shelf is empty.
- Schedules that live in one head
- Which doctor sits where on which day is known only to the receptionist.
What we build
A clinic website, a patient portal and the system behind both.
One set of records, so the front desk, the doctor and the lab see the same patient. See how we build clinic websites and patient portals.
Clinic website and Google listing
Doctors, timings, tests, directions and a request form, plus a Google Business listing kept up to date.
Online appointment requests
Patients request a slot online; the desk confirms it, and a reminder follows by WhatsApp Business or email.
Patient records and visit history
Visits, notes, prescriptions and reports in one place, at any branch you allow.
Billing and invoices
Consultation, procedure and test bills from the visit, with GST invoices where they apply.
Secure patient portal
Approved reports published to the patient's login, with a message when each one is ready.
Doctor and branch schedules
Each doctor's days, hours and branches set once, so bookings never land outside them.
Consumables inventory
Kits, reagents and disposables by branch, with reorder levels flagged early.
Roles and access
Records are access-controlled by role: desk, doctors, lab and owner see only what they need.
Owner's view
Appointments, footfall by doctor and branch, collections and pending reports on your phone.
At your pace
Three levels of digital for a clinic. Go as far as suits your practice.
A single-doctor clinic and a diagnostic chain need different things. Start where the pressure is. Read more about going digital at your own pace.
Be easy to find and easy to reach
A clinic website, a Google Business listing that shows the right timings, and appointment requests that arrive on the front desk’s phone. The way the clinic runs does not change.
Take pressure off the desk
Move the part that hurts most, usually appointments with reminders or report delivery through the patient portal. Billing and paper files stay as they are for now.
The whole practice on one system
Appointments, records, billing, reports, consumables and every branch in one system, with accounts posted to Tally and the owner's view on a phone. When the practice passes to the next generation of doctors, its history is in the system, not in one person's memory.
How it’s delivered
Designed around your front desk, built in the open, kept running.

Clinic management software: common questions
Can patients book appointments online?
Yes. Patients request a doctor and a slot from your website. The front desk confirms it, and the patient receives a reminder by WhatsApp Business or email.
How are lab and diagnostic reports delivered?
Once approved, a report is published to the patient's login on a secure patient portal, and the patient is told it is ready. A lost copy can be downloaded again.
Who can see patient records?
Records are access-controlled by role. The front desk, doctors, lab staff and the owner each see only what their role needs, and you decide who has access to which branch.
Where is patient data kept?
By default on Supabase in AWS Mumbai, so the data stays in India, with daily backups and SSL. Your data is exportable at any time and stays yours if you leave.
Does it work for several doctors and branches?
Yes. Each doctor's days, hours and branches are set once, bookings follow those schedules, and the owner sees every branch together or one at a time.
Can we start with just a website and appointment requests?
Yes. Many clinics start with a website, a Google listing and appointment requests, and add records, billing or the patient portal later without rebuilding what is already in use.
How is it priced?
You receive a written proposal with a fixed quote within 3 working days of a first conversation. The build fee is paid in stages, and hosting, backups and support are covered by an annual maintenance contract. Never per-user pricing, so adding staff never adds cost.
