Rice mill management software
Rice mill software, from the gate to the godown to the invoice.
Karyo builds and manages the system a rice mill runs on: paddy bought against a bid, weighed and graded at the gate, stacked by godown, milled and accounted for on outturn, then dispatched and billed. Every step is recorded once, where it happens, and posted to Tally.
- Starts with records, adds meters later
- Posts to Tally
- Runs under your mill's name
| Lot | Party | Net | Moisture | Result |
|---|---|---|---|---|
| PR-126 | Commission agent | 284 qtl | 14.2% | Accepted |
| 1509 | Farmer | 96 qtl | 17.8% | Rate cut |
| PR-126 | Trader | 402 qtl | 13.6% | Accepted |
| 1121 | Commission agent | 150 qtl | 21.4% | Rejected |
The problem
A mill loses money in the gaps between registers.
Paddy arrives from farmers, traders and commission agents at different rates. Weights and moisture are written in one register, godown stacks in another, outturn in a third, and the accounts in Tally. By the time the month is closed, nobody can say which lot milled well, which supplier sent wet paddy, or how much stock is really in godown 2.
Karyo replaces those registers with one system the whole mill works in, and keeps Tally as the books.
How it works
Where the register is today, the system is instead.
Nothing about how the mill runs changes. The same people record the same things at the same moments, on screens that already speak the trade.
Bought against a bid
Paddy bought from a farmer, a trader or through a commission agent (arhtiya), at a rate against a lot. Commission, loading and freight are carried on the lot instead of being remembered separately.
Weighed, graded, stacked
Vehicle in, gross and tare against bag count, then the grade: moisture, broken, chalky and discoloured grain. Each lot is accepted, rate-cut or turned away, and stacked to a named godown.
Accounted for on outturn
Paddy issued to milling and the outturn weighed back: head rice against bran, husk and broken. What went in and what came out sit side by side on the same lot, so every lot shows its real yield.
Loaded against the order
Loading against the buyer's order, gate-out, and the GST bill that matches it.
Your books do not move
Receipt notes, delivery notes and stock entries are posted to Tally. Your CA and your GST filing carry on exactly as they do today.
What's included
The modules a rice mill actually uses.
A mill gets only the modules a mill needs. Nothing irrelevant clutters the screens.
Whether you mill paddy you bought or mill on job work for others, each lot is tracked to its owner, so outturn and stock are never mixed up between your paddy and a customer's.
- Purchase
- Bids, lots, parties and rates, with commission, loading and freight against each lot.
- Quality
- Grading at the gate and on outturn: moisture, broken, chalky and discoloured grain.
- Stores and transfers
- Stock by godown and stack, and every movement between them.
- Material planning
- What to mill next against orders in hand and paddy in stock.
- Rejection and losses
- Lots turned away at the gate, and losses accounted for on outturn.
- Dispatch
- Loading against the buyer's order, gate-out, and the matching bill.
For the owner
Know what the mill did today, not at month end.
Stock that matches the godown
Every bag is recorded when it moves, by the person who moved it.
Yield per lot and per supplier
See which paddy mills well, and which supplier sends wet or broken grain.
Rate cuts with a reason
Every deduction at the gate is recorded against the lot and the party.
Month end in a day
Nothing is reconstructed from memory; it was recorded when it happened.
How it's delivered
Built at your mill, then kept running.
The same five stages as every Karyo build, with one difference: discovery for a mill is a site visit. We walk the gate, the weighbridge, the godowns and the milling floor before we quote.
Training happens at the mill, in English and Hindi, on the job each person already does. After go-live the system is hosted, backed up and maintained under an annual maintenance contract.
How we prove it
Results only after a full milling season.
We show what the system does, not numbers we cannot yet stand behind. Results for any mill are published only after the system has run a full milling season there.
Rice mill software: common questions
Does it replace Tally?
No. Tally stays your books. The system posts receipt notes, delivery notes and stock entries to Tally in the format your accountant already uses.
Can it handle commission agents (arhtiyas)?
Yes. Paddy can be bought from a farmer, a trader or through a commission agent, with commission, loading and freight carried on the lot.
Does it calculate outturn per lot?
Yes. Paddy issued to milling is weighed back as head rice, bran, husk and broken, against the same lot, so you see the yield of every lot and every supplier.
Does it work for job-work milling?
Yes. Each lot is tracked to its owner, so your own paddy and job-work paddy never mix in stock or outturn.
How is it priced?
After a site visit you receive a written proposal with a fixed build fee and an annual maintenance contract covering hosting, backups and support. Never per user.
Is my data safe?
By default, Karyo systems store data on Supabase in AWS Mumbai, so it stays in India, with daily backups. The hosting set-up for your mill is written into the proposal. Your data is exportable at any time and stays yours if you leave.
